AI Automation & Workflow Systems

Automate the work
your business shouldn’t be doing manually.

I design and build automation systems that connect your existing tools, move data without manual copying, coordinate AI reasoning workflows, and turn repetitive operational friction into reliable background processes.

TRIGGER · DATA · LOGIC · AI · ACTION · RECORD

01 Capabilities

Where automation creates direct leverage

Four core areas where systems replace manual effort.

Automation works best when targeted at high-friction points: delayed lead responses, manual copy-pasting between platforms, repetitive status updates, and messy document processing.

01 / LEAD & SALES OPERATIONS

LEADS

Inbound Lead Capture, Enrichment & Routing

Capture → Enrich → Score → Route → CRM → Auto-Reply

Incoming inquiries from forms, calendars, or inbound channels are instantly validated, enriched with business context, scored against qualification criteria, assigned to the correct rep in your CRM, and confirmed via personalized email within seconds—eliminating drop-off.

02 / INTERNAL OPERATIONS

WORKFLOWS

Event-Driven Business Workflows

Trigger → Process → Validate → Notify → Record

Replace manual operational handoffs with reliable event triggers. When a contract is signed, a payment clears, or a project milestone transitions, the system automatically creates tasks, generates documents, provisions access, and updates internal dashboards.

03 / AI WORKFLOWS

INTELLIGENCE

AI-Assisted Reasoning & Extraction

Input → Model Reasoning → Schema Validation → Action

Deploy Large Language Models specifically where unstructured text needs interpretation: parsing incoming customer inquiries, extracting structured JSON from messy documents, classifying intent, or drafting context-aware summaries—backed by strict validation rules before execution.

04 / INTEGRATIONS & DATA SYNC

CONNECTIVITY

Cross-Platform API & Database Sync

Forms ↔ Webhooks ↔ APIs ↔ CRM ↔ Database

Connect disconnected SaaS tools and databases into a synchronized network. Webhooks and REST APIs ensure data changes in one system reflect immediately across billing, customer support, marketing, and internal data stores without human intervention.

02 Architecture

How a dependable automation functions

Automation is more than connecting two apps with a trigger.

A brittle automation breaks silently the moment an API responds unexpectedly or a customer enters malformed data. Durable systems are engineered with validation, logic gates, safeguards, and recovery mechanisms.

01 / TRIGGER

Event Origin

Webhook, form submission, scheduled cron, or database event fires.

02 / DATA

Parse & Enrich

Payload validated against schema; context retrieved from database.

03 / LOGIC

Deterministic Gates

Threshold checks, deduplication rules, and conditional branching evaluated.

04 / AI LAYER

Model Reasoning

LLM classifies text, extracts structured JSON, or synthesizes insight (if needed).

05 / ACTION

Execution

Target APIs mutated, notifications sent, documents generated.

06 / RECORD

Audit & State

Execution logged with timestamp, state committed to database, retries handled.

03 Practical AI

Separating hype from dependable engineering

AI when useful. Rules when predictable. Humans when important.

Reliable systems do not let generative models control critical business rules unchecked. The most powerful automations combine deterministic code for speed with AI for messy human inputs.

DETERMINISTIC RULES

Predictable & 100% Reliable

For status changes, database updates, financial math, and routing rules, deterministic logic is faster, costs zero in API tokens, and cannot hallucinate. Code handles the backbone.

AI REASONING & EXTRACTION

High Leverage on Messy Data

For open-ended emails, ambiguous customer requests, PDF invoices, and audio transcripts, LLMs excel. They interpret intent, extract strict JSON schemas, and return clean data to the system.

HUMAN-IN-THE-LOOP

Safeguards on High-Stakes Actions

For sensitive operations—large contract releases, outbound executive emails, or account modifications—the system prepares the entire task and prompts a team member via Slack or email for a one-click approval.

04 Reliability

Built for real-world production environments

Automation should fail safely and visibly.

APIs experience downtime. Third-party schemas change. Webhook deliverability drops. Production automations must anticipate failures rather than pretending they won't occur.

Input Schema Validation

Every incoming webhook is verified against strict type schemas before entering business logic, preventing corrupt data from propagating into your database or CRM.

Idempotency & Deduplication

Network retries from webhooks or payment processors are checked against unique event IDs to guarantee that duplicate triggers never cause double charges, duplicate records, or repeated emails.

Exponential Backoff & Retries

Transient API outages and rate limits are absorbed gracefully with automatic jittered retries, keeping workflows alive during third-party hiccups.

Audit Logging & Alerting

Detailed execution timestamps, payloads, and error traces are stored for observability. When unrecoverable exceptions occur, alerts fire to your team immediately with complete replay context.

05 Tooling

Tools support the outcome, not the other way around

Platforms, model APIs, and custom engineering.

I choose tools based on maintainability, data sovereignty, team familiarity, and operational cost—combining visual workflow engines with custom code where platforms fall short.

06 Process

A structured approach from audit to deployment

From manual bottleneck to reliable background system.

Good automation begins with clear operational diagnosis, not jumping straight into software. We map where time is leaking, simplify the rules, build cleanly, and verify thoroughly.

  1. 01

    Map the Workflow

Document the existing manual process step by step: who touches it, what tools are involved, what decisions are made, and where delays occur.

  2. 02

    Eliminate & Simplify

Automating a broken workflow only creates broken automation faster. We remove unnecessary steps, unify duplicate inputs, and clarify business rules first.

  3. 03

    Architect the System

Define triggers, payload schemas, deterministic branching, AI intervention gates, rate limits, and fallback paths before writing code.

  4. 04

    Build & Connect

Implement the workflow in n8n, Make, or custom API services, connecting all endpoints and establishing authentication credentials securely.

  5. 05

    Stress Test & Validate

Rigorously test the flow under real data: valid inputs, missing fields, malformed text, edge cases, and simulated third-party downtime.

  6. 06

    Deploy & Observe

Roll out to production with audit logging and error notifications. Monitor live executions and refine based on real operating usage.

07 Contexts

Where automation produces the highest return

Common business bottlenecks ready for automation.

While every business has unique operations, the underlying friction points tend to follow recognizable patterns across departments.

SALES & ACQUISITION

Speed to Lead & Pipeline Hygiene

Eliminate the delay between someone requesting information and your business responding. Automate lead qualification, calendar invitations, CRM record creation, and rep notifications so opportunities never sit unattended.

CLIENT ONBOARDING

Account Provisioning & Document Flow

Turn signed agreements into instant action. The moment a deal closes, generate invoices, create client folders, provision project boards, alert the team, and dispatch welcome credentials automatically.

CONTENT & MEDIA OPERATIONS

Multi-Channel Distribution Pipelines

Connect video, audio, and editorial workflows. Coordinate asset handoffs, automate metadata formatting for platforms, trigger notifications when reviews are approved, and log performance metrics automatically.

INTERNAL REPORTING & ADMIN

Automated Briefings & Data Rollups

Stop manually compiling spreadsheets every Monday. Aggregate metrics from payment processors, analytics tools, and CRMs into a consolidated summary delivered to Slack or email automatically.

08 Philosophy

An engineering mindset applied to operations

Automation is one part of how I think about systems.

Whether designing user-facing applications, structuring content distribution pipelines, or connecting business software, my focus remains the same: understand the bottleneck, build something simple and durable, and measure the real outcome.

Dedicated client automation case studies are currently being prepared for publication. In the meantime, explore how I design and engineer software and distribution systems.

09 Fit

Who gets the most value from working together

Built for teams that want to scale output without scaling headcount.

Founders & Operators

Founders whose time is consumed by manual administrative work, copy-pasting customer data, and managing routine operational tasks that should happen in the background.

Growing Teams

Businesses where marketing, sales, and fulfillment software don't communicate cleanly, leading to dropped leads, delayed customer handoffs, and data discrepancies.

Media & Content Operations

Creators and media brands publishing across multiple channels that need structured pipelines for asset tracking, review cycles, scheduling, and performance rollups.

10 FAQ

Common questions about automation systems

Clear answers to practical questions.

What kinds of workflows can you automate?

Almost any workflow that follows repeatable rules or structured triggers: inbound lead processing, customer onboarding, CRM updates, form-to-database routing, invoice generation, cross-platform notifications, and AI-assisted document parsing or summarization. If a human is manually copying information from one screen to another, it can likely be automated.

Do all automation systems require AI?

No. In fact, many of the most valuable business automations are entirely deterministic. Deterministic code and rules are faster, 100% reliable, and cost nothing in model tokens. I only introduce AI where natural language reasoning, unstructured data extraction, intent classification, or content synthesis adds genuine leverage that simple rules cannot achieve.

Do you build in n8n, Zapier, Make, or custom code?

I choose the best tool for your operational scale and technical preferences. For visual workflow management and team handoffs, n8n (self-hosted or cloud) and Make are exceptional. For simple integrations, Zapier works well. For high-volume, proprietary, or latency-sensitive pipelines, I build custom webhook workers and microservices in TypeScript or Python.

Can automations include human approval steps?

Yes, and for sensitive workflows, this is recommended. Systems can automate 90% of the prep work—gathering data, parsing files, drafting responses, and staging records—then pause and send an interactive Slack, email, or dashboard prompt to an authorized team member for a one-click approval before final execution.

What happens if an external API or service goes down?

I engineer systems with exponential backoff retries, error queues, and instant alerting. If an external API experiences temporary downtime, the workflow holds the payload and retries safely. If a permanent failure occurs, the payload is preserved in an audit log and an alert is dispatched to your team with the exact context needed for manual replay.
